The Facts Regarding Time And Attendance Systems

By Thelma Kent

There are organizations, both small and large, that utilize time and attendance systems. These devices are designed to track the work behaviors of employees, such as work shift, number of products made, department worked in, and meals and breaks. Even situations involving jury duty, vacation, FMLA and compensation time may be tracked

These units are very beneficial to organizations. They allow an employer to have complete control over the working hours of their employees. It also gives them control over all labor costs by the reduction of over-payments, which are often the result of transcription, interpretation, or intentional errors.

In large organizations, more than one clock may be installed to speed up the check in or check out process, or to record activity within certain departments. There are both automated and manual models. Prices of these machines vary depending on number of clock points, identification method used, and the manufacturer. These units aid in the prevention of payroll fraud and give employees and employers accurate productivity and payments records.

Manual models require manual labor. Specially-trained individuals are given the task of adding paper cards stamped with a machine like a Bundy Clock. The task may be laborious, resulting in many mistakes. Nonetheless, this method and these devices have been used for many years.

With automated units, electronic tags, magnetic stripe cards, barcode badges, touch screens or biometrics are used instead of paper cards. The recorded info is auto transferred to a computer where it is processed and recorded. Some of these systems require that an operator physically transfer information from the clock to the computer through use of a portable memory device. The computer then handles recording, calculations and similar tasks.

time and attendance systems are used by numerous organizations. They may be manual or automatic. In either case, they are used to track employee work hours.
